Visa Services for Travel Agents
Hand your clients' visa applications to a specialist, at trade rates, without handing over the client. We work to your agency, not around it.
Visa admin is the least profitable hour of your day
It is unbillable, it is fiddly, the rules change without notice, and when something goes wrong it is your client on the phone and your reputation on the line. For most agencies it is the part of a booking that quietly eats the margin.
Handing it to a specialist is not just about saving the time. It is about not being the one who has to explain a refusal.
Your client stays your client
We work to you, not around you. Unless you ask us to deal with your traveller directly, every question and every update comes back through your consultant, and nothing we produce carries our marketing.
Trade rates, your margin
You pay a trade price and decide what your traveller pays. Visa work stops being an admin cost you absorb and becomes a line you can bill for.
One consultant, not a queue
You get a named person who knows your agency and your bookings, reachable on WhatsApp. No ticket numbers, no explaining the file again to whoever answers.
How it works
-
1
Send us the booking
Destination, travel dates, passenger count and purpose. An email, a WhatsApp message or the form below — whatever is quickest for you. For groups, send the passenger list.
-
2
We come back with a checklist and a price
A document checklist specific to that destination and those travellers, and a trade quote. You can pass the checklist to your client under your own name.
-
3
We prepare and book
Forms completed and checked, documents reviewed before anything is submitted, and the biometrics or interview appointment booked.
-
4
You keep your client informed
We update you at each stage so you are never waiting on us to answer your traveller. If something is wrong with the file, you hear it early enough to fix it.
Working with your systems
Most agencies start by simply emailing or WhatsApping us the booking, because it is the fastest thing to set up and needs nothing from your IT. That works well up to a reasonable volume.
Beyond that, we can fit the way you already work: a shared spreadsheet or passenger-list upload for groups, a status view your consultants can check without asking us, or a direct feed from your mid-office or booking system so applications are raised without rekeying. What makes sense depends on your volume and what you are running.
Tell us what you use in the form below. If a closer integration is worth building for the volume you send, we will talk about building it.
Who we work with
Independent travel consultants
No in-house visa desk, and visa admin eats the margin on a booking. This is the work most worth handing over.
Corporate travel and TMCs
Repeat volume from the same accounts, usually with less notice than anyone would like. Business visas, renewals and urgent turnarounds.
Tour operators and DMCs
Whole groups moving on the same itinerary, where one missed document holds up a departure.
Conference and incentive organisers
Delegations applying together against a fixed date, where the deadline is the whole problem.
What we take off your desk
- A document checklist specific to the destination, the purpose and the traveller
- Review of every document before anything is submitted
- Application forms completed and checked
- Biometrics, appointment and interview slots booked
- Group and delegation applications handled as one batch
- Updates to you at each stage, so you can answer your client without chasing us
What we are straight with you about
- Embassy and visa-centre fees are separate and are paid by the traveller.
- Your client attends their own appointment and gives their own biometrics. No agency can do that for them.
- No outcome is guaranteed. The decision belongs to the consulate, and anyone promising otherwise is not being straight with you or your client.
- If a case is not realistic in the time available, we will say so before you promise anything to your traveller.
Questions agencies ask
Not unless you ask us to. By default everything goes through you: we deal with your consultant, you deal with your traveller. Your client stays your client, and nothing we send carries a marketing message.
You pay a trade rate and set your own price to your traveller, so the margin is yours. Rates depend on destination, visa type and the volume you send, so we quote per agency rather than publishing a single number. Embassy and visa-centre fees are always separate.
Yes, and group work is where we save you the most time. Tours, incentives, conference delegations and corporate teams travelling together can be submitted in one batch rather than one enquiry at a time. Send us the passenger list and we will come back with what is needed for the whole party.
We tell you first, with the stated grounds, so you are never hearing it from your client. We will advise whether to appeal or reapply and what needs to change. No agency, including ours, can guarantee an outcome — the decision belongs to the consulate.
Either. Agencies sending regular volume usually prefer a monthly account with a consolidated invoice; occasional users prefer to settle per application. Tell us which suits your back office and we will set it up that way.
Any destination a South African passport holder needs a visa for. Most agency volume is the UK, Schengen, the USA, Canada, Australia, China and India, and those are the ones we handle most often.
No. We work with ASATA members, independent travel consultants, corporate travel departments and tour operators alike. Tell us how you are set up and we will work with it.
Open a trade account
Tell us how your agency works and we will come back with trade rates and a named consultant. No commitment, and no minimum volume to get a quote.

Not an agency? Our visa services for individual travellers covers the same work for people applying on their own.
