Do you need a visa agent for a Schengen visa?

No. Nobody is required to use one, and many South Africans with a payslip, savings and a simple trip apply successfully on their own. Help earns its fee when your case is not standard, your timing is tight, or a refusal would cost you a trip you have already paid for.

The honest answer to this question depends on your case, not on the visa. The application is the same for everyone. What differs is how hard it is for you to prove the four things a consulate has to see, and how much a refusal would cost you.

What an agent can and cannot do

No agent can submit your application for you. Every applicant aged 12 and over attends the visa centre in person to give fingerprints, and you sign your own form. No agent can influence the decision either: it belongs to the consulate.

What an agent does is everything before the appointment: work out which consulate your application belongs to, tell you which documents your circumstances call for, check every one of them for the gaps and inconsistencies that get applications refused, complete the form with you, and book the appointment.

Apply yourself if…

  • You are salaried, with payslips, three to six months of bank statements and an employer who will write a leave letter.
  • Your trip has one obvious main destination.
  • You have six weeks or more before you travel.
  • You have never been refused a visa.
  • You are travelling alone, or with a partner whose documents look like yours.

Get help if…

The sum worth doing

A refusal costs more than the visa fee. The €90 fee and the visa centre's charge are not refunded, flights and accommodation booked in advance often are not either, and the refusal goes on your record. Every future application asks whether you have been refused before.

Set that against the cost of help. If your case is straightforward, the sum usually says to do it yourself. If it is not, or the trip is expensive and the dates are fixed, preparation is cheap by comparison.

From R2,250 per person when there is time to book a normal appointment, up to R4,950 per person for a last-minute application. Embassy and visa-centre fees are separate and paid directly to them.

How to tell a good agent from a bad one

  • Nobody can guarantee a visa. Anyone who does is selling something they do not control.
  • Appointment slots are free. Visa centres do not sell them through middlemen. Pay for preparation, never for a slot.
  • Documents must be real. An agent who offers a "dummy" hotel booking, a letter you did not get from your employer, or a statement that does not match your bank is putting a misrepresentation finding on your record, not theirs.
  • The fee is in writing first, with the embassy and visa-centre fees shown separately so you can compare like with like.

No. Using an agent is optional. If you are salaried, have never been refused and have six weeks or more before travel, you can usually apply yourself. Help is worth paying for when you are self-employed, have been refused before, are travelling with children, or are short of time.
